How to Get 2 Hours a Week Back with Automated Quotes (AI Recipe)
By Heather Black

AI RECIPE OF THE WEEK · SALES
Your customer says, “That sounds great. Can you send me a quote?”
As a business owner, do you know how long it really takes your team to get that quote out of the door? And are you confident it will be right, on brand and stored safely when it lands?
If you’re honest, it probably looks something like this. It’s 9pm, the kids are finally asleep, and you’re copying a customer’s address from your CRM into a Word template. Again. You check the price list, fix the discount, retype the line items, save as a PDF and hope you didn’t leave the last client’s name in the footer.

I’ve been there, and I’ve watched hundreds of the business owners I work with do exactly the same. The good news is that this is one of the easiest wins you can get from AI. In this week’s recipe I’ll walk you through how AI document automation takes your quotes from hours to minutes, without compromising security.
What can go wrong!
Here are three scenarios I see time and again when quotes are built by hand.
- The wrong price goes out. A discount from last month’s offer is copied across, or VAT is missed. The customer accepts, and now you either honour a price that loses you money or have an awkward conversation that dents their trust before you’ve even started.
- The quote lands too late. You had a brilliant call on Monday, but the quote doesn’t go out until Thursday. By then the buyer’s excitement has cooled and a competitor who replied the same day has their attention.
- Customer data ends up in the wrong place. Quotes are saved to desktops, personal drives and email attachments, outside the systems that keep customer data safe. When a team member leaves, nobody can find the latest version, and you can’t be sure who has seen what.
How to get it right!
The answer is to stop building quotes and start generating them. Your CRM already holds the customer, the opportunity and the products, so let it do the heavy lifting, and let AI write the personal bit.

The recipe: AI document automation for quotes
Ingredients (your tool stack)
| Ingredient | What it does |
|---|---|
| Your CRM (Salesforce) | Holds the customer, the opportunity and the products. One source of truth. |
| Document automation (Documill) | Merges CRM data into a branded quote template and generates the PDF inside Salesforce. |
| An AI assistant (Claude) | Drafts the explanatory text and cover note from your checked call notes, ready for you to review. |
| E-signature | Lets the customer accept the quote in one click. |
Method
- Build one master template. Your logo, terms, payment details and product table, set up once with merge fields instead of typed text.
- Keep your products and prices in the CRM. Line items, discounts and VAT pull straight from the opportunity, so the numbers always match.
- Let AI write the personal bit. Paste your call notes and ask AI to draft a short summary of the customer’s challenge and how your offer solves it. You edit; it drafts.
- Generate with one click. The quote is produced, saved against the record and shared from within Salesforce, so it never lives on someone’s laptop.
- Send for signature and set a reminder. Automate a follow-up if it isn’t opened in 48 hours.
⏱ Prep time: a few hours to set up once · Cook time per quote: minutes
Use my AI Powered Business Formula™ to make it stick
Technology alone doesn’t create transformation. I’ve seen businesses invest in brilliant tools only for them to sit unused because the solution didn’t fit the business or the team never adopted it. That’s why every recipe in the AI Recipe Cookbook follows the four stages of my AI Powered Business Formula™. Here’s how it works for quotes:
1
Purpose – Measure where you are today
Time your next five quotes, count the corrections and note how many days pass between the call and the quote landing. This becomes your baseline.
2
Systems – Choose the recipe and connect the stack
Make your CRM the single source of truth, then add one automated template, AI for the cover note and e-signature to close.
3
Adoption – Agree who does what
Decide who owns the template and price list, where AI drafts and where a person reviews before anything is sent. Then train the team.
4
Management – Review, fix and expand
Track time per quote, errors, same-day sends and win rate. Fix the weak spots, then roll the recipe out to proposals, contracts and onboarding packs.
Don’t skip the security step
Speed is only half the story. Last week we looked at secure and compliant document workflows with the team at Documill. Quotes carry personal data, prices and contract terms, so the safest quote is one that’s created, stored and shared from inside your CRM, with the right people seeing the right records.

The gain: test it for yourself
I always recommend running a recipe as a 30-day pilot before you roll it out. Measure:
- Time per quote: track active minutes per quote, including checking. Our target to test: 2 hours a week back.
- Speed to send: test whether quotes can go out on the same day as the call.
- Errors: count corrections and re-sends before and after.
- Win rate: compare acceptance rates on quotes sent within 24 hours versus later.

Work out your ROI
Grab a calculator and fill in your own numbers:
Quotes per week × minutes saved per quote × 52 ÷ 60 = hours saved per year
For example, if your team sends 20 quotes a week and saves 6 minutes on each, that’s 2 hours a week, or around 104 hours a year. Multiply those hours by your team’s hourly cost to see the value in pounds, then take off the cost of the tools.
These figures are an illustration. Measure your own baseline first, then test it in a 30-day pilot.
Reflective Exercise
Grab a notebook and write down some thoughts on the questions below. What steps do you need to take to get your quotes out in minutes, not hours?
How equipped and confident are you with AI document automation?
- Do you know how long a quote takes your team today, from call to inbox?
- Are your products, prices and discounts held in your CRM, or in a spreadsheet someone has to check?
- Do you have one branded template with merge fields, or does everyone build their own?
- Have you agreed where AI drafts and where a person reviews before anything goes to a customer?
- Are your quotes created, stored and shared securely inside your CRM?
At the end of this recipe, I hope you have a better understanding of how AI document automation can give you back hours every week, help you reply while your buyer is still excited, and keep your customer data safe.
